HOTEL RULES AND POLICY

NGHL Hotel Reservation Policy

  1. A condition of being accepted into an NGHL event is that ALL teams (local or traveling) who require accommodation, MUST book rooms through the NGHL. No other rates (including corporate/ AAA/government rates), discounts, or hotel reward points regardless of how acquired, will be allowed. No exceptions. Rooms must be reserved and booked by six (6) weeks before the event begins. Failure to follow and or circumvent procedures and obligations will result in removal from the tournament, forfeiture of tournament fees, and forfeiture of team eligibility for a complimentary room awarded to the team.
  2. Complimentary rooms are not guaranteed. The following is the complimentary room(s) policy: One (1) complimentary guest room, per team, per night, for every 16 guest rooms occupied and paid for each night within the official team block, over the tournament dates. The complimentary room is applied to the 16th room reserved by the team. Teams that appear to qualify for a complimentary room will receive an email with instructions the week of the event on how to designate the recipient of the complimentary room. Please make sure all rooms for coaches are booked prior to the cutoff date.
    • Please note that the guest will be required to check-in with a credit card. Once the actual pickup is confirmed by the hotel following team check-in, comp room nights will be awarded at checkout (some hotels credit eligible stays back to the credit card the day following the event). Comps are awarded based on actual pickup, not reservations.
  1. I understand that NGHL events start at 8:00am on the first day and finish by 4:00pm on the last day. I also understand and agree that NGHL is not responsible for teams that choose to book travel outside that time frame.

HOTEL RESERVATION PROCESS

Please read and follow the below reservation process for your team.
  1. The team contact is responsible for providing copies of, or discussing, NGHL showcase hotel rules and procedures with all members of their group.
  2. It is the responsibility of the team to book a room for their coach or coaches prior to the cutoff date.
  3. Reserve your rooms using the link form sent to you following registration. If the team contact is not traveling with the team, please email info@nghlhockey.com with the name of the contact who will be available and with the team if our NGHL tournament director needs to get in touch with the team during the event.
  4. Please make your reservation from the online link provided for your entire team, at our tournament-approved hotels.

RESERVATION INFORMATION

Please read and follow the below reservation process for your team.
  1. Complete all sections of the online reservation form. No alternate forms will be accepted. The hotel reservations are on a first-come-first-served basis and the link is only given to teams once they have registered for the event.
  2. All hotels work to keep your team as close together as possible. However, please understand that special requests and rooming list changes may cause your block to separate. Room additions, deletions and special requests or instructions regarding your team's room block should be made directly with your team's hotel contact at that time.
  3. Individual cancellations will be accepted by the hotels until 72 hours (3 days) prior to arrival for the team. Individual cancellations NOT MADE more than 72 hours in advance will be considered a “no show” and will be charged for one room night plus tax. Early departures (parties checking out earlier than the departure date originally requested) are subject to fees determined by the hotel (typically one night’s room and tax).
  4. If teams cancel more than 50% of their entire room block within one (1) week of the tournament start date, they will be subject to charges for one night per room plus tax, for their entire block of rooms originally listed on the rooming list.
  5. A credit card to cover incidental charges incurred throughout the weekend is required by a representative of each room at the time of check-in (ie. room service, movies, etc.).
  6. Listed check-in times are 3:00 pm unless otherwise noted.
  7. All rooms will have two (2) beds (doubles or queens) or a king bed with a sofa sleeper. We cannot guarantee a specific room type.
  8. Rollaways/cots are available at most hotels. Extra charges may apply (typically between $10-$20 per cot per night).
